This policy explains what personal information we collect when you use our website or work with us, why we collect it, who we share it with, and the choices you have.
Last updated: 18 October 2026
1. Who we are
Contentual ("we", "us" or "our") is a content strategy and marketing agency with teams in South Africa and the United Arab Emirates. We are responsible for the personal information described in this policy.
If you have any questions about your information, please contact our Information Officer at info@contentual.com.
2. The privacy laws we follow
We follow the privacy laws that apply to the people we work with, including:
- South Africa's Protection of Personal Information Act (POPIA)
- The UK General Data Protection Regulation (UK GDPR) and the EU General Data Protection Regulation (EU GDPR), where they apply to you
- The UAE's Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL)
Where these laws give you different protections, we aim to give you the stronger one.
3. What we collect
Information you give us. When you fill in a form, submit a brief, book a call or email us, we collect details such as your name, email address, phone number, company, job title and information about your project.
Information from calls and meetings. When you book or attend a call, we keep the booking details and any notes we take.
Information collected when you visit our site. With your permission, we collect information such as the pages you visit, the device and browser you use, your approximate location, how you found us and whether you clicked one of our ads.
We do not ask for sensitive information, such as health or financial details. Please do not send it to us.
4. How and why we use your information
- To reply to you. We use your details to answer enquiries, prepare proposals and run calls you have asked for.
- To do our work. If you become a client, we use your information to deliver our services and manage our relationship with you.
- To keep in touch. We may send you occasional updates, but only if you agree. You can unsubscribe at any time.
- To improve our website. With your permission, we use analytics to understand how people use our site.
- To improve our advertising. With your permission, we measure how our ads on Google, Meta and LinkedIn perform.
- To keep things safe. We use security tools to protect our site and stop spam.
- To meet our legal duties. We keep some records because the law requires it, for example for tax.
We only use your information when we have a lawful reason to. These reasons are: you asked us to do something, we have a contract with you, you gave your consent, we have a fair business reason that does not override your rights, or the law requires it.
5. Cookies and similar tools
Cookies are small files saved on your device. We group them into three types:
- Essential. These keep the site working and secure, and remember your cookie choice. They are always on.
- Analytics. These help us understand how people use our site. We use Google Analytics.
- Marketing. These help us measure and improve our ads. We use the Meta Pixel, the LinkedIn Insight Tag and Google Ads.
Analytics and marketing cookies stay off until you say yes. You can change your choice at any time using the Cookie settings link, which also appears in the footer of every page.
Videos on our site are hosted by Vimeo. We load them with Vimeo's "do not track" setting switched on.
6. Who we share your information with
We only share your information with trusted companies that help us run our business, and only what they need:
- Webflow, which hosts our website and receives form submissions
- GoHighLevel, which we use for our client records, forms, bookings and emails
- Google Workspace, which we use for email, calendars and documents
- Google, Meta and LinkedIn, for analytics and advertising, only if you say yes to those cookies
- Cloudflare, which helps protect our site from spam and attacks
- Vimeo, which hosts our videos
- Our professional advisers, such as accountants and lawyers, and authorities when the law requires it
We never sell your personal information.
7. Sending information to other countries
Some of the companies we use store information outside South Africa, the UAE, the UK or the EU, for example in the United States. When this happens, we make sure the right protections are in place, as the law requires, such as data protection agreements and standard contract terms.
8. How long we keep your information
- Enquiries that don't turn into work: up to two years after we last spoke.
- Client records: for as long as we work together, and afterwards for as long as the law requires (for example, tax records are usually kept for five years in South Africa).
- Website analytics: up to 14 months.
After that, we delete your information or make it anonymous.
9. Keeping your information safe
We use secure connections, limit who can access your information and only work with trusted providers. No system is 100% secure, but if a data breach is likely to affect you, we will tell you and the relevant regulator as the law requires.
10. Your rights
Depending on where you live, you have the right to:
- Ask what information we hold about you and get a copy
- Ask us to correct information that is wrong
- Ask us to delete your information
- Object to, or ask us to limit, how we use your information
- Withdraw your consent at any time, for example by changing your cookie settings or unsubscribing
- Ask us to send your information to another company in a common format
- Complain to a privacy regulator
To use any of these rights, email info@contentual.com. We may need to confirm who you are first. We will reply within one month.
